the fly arts center rental agreement for "mcGrew Hall"
PLEASE READ THROUGH THE ENTIRE AGREEMENT AND THEN FILL IN THE FORM BELOW.
What's included in your rental?
Folding tables (20 round 60" and 25 rectangular 6') and chairs (250) are provided as a part of your rental agreement. NOT included are linens, dishes, glassware, flatware or serving pieces. Renter must supply their own trash bags and paper towels. One key to the building will be provided. If the key is lost, a charge of $100 will be deducted from your deposit.
Rules of Rental Agreement
1. The rental agreement allows you and your guests access to the our main event room (McGrew Hall), restrooms and the kitchen. Please note that the theatre, art gallery, museum and all other areas are off-limits during your event.
2. The renter is responsible for ALL behavior of all attendees of the event.
3. If alcohol will be served at the event, the renter agrees to oversee guest behavior, and must follow all laws regarding alcohol consumption. Renter is responsible for any accidents, whether personal or property related, and any incidents that occur because of alcohol consumption. To ensure safety, it is recommended that individuals who are not consuming alcohol be designated to oversee
guest behavior, including that guests leave the premise safely. Alternatively, the renter may hire security personnel for this purpose.
4. Renters must complete all cleaning and remove all decorations, trash and rented property from the building by the time/date determined by your rental representative at The Fly Arts Center. Post event cleanup: All tables and chairs are to be restacked and/or stored into their original place. All floors are to be swept and cleaned. Kitchen should be clean and in order. Restrooms must be
cleaned. Cleaning supplies for renters, including brooms and mops, are located in the kitchen storage closet. ALL accumulated trash is to be removed from the main event room, kitchen and restrooms. Please note: The municipal trash receptables are located on the dock at the entrance to the building. If you trash will not fit into these containers, the renter is responsible for bagging and
removing the trash from the building and premises.
5. Guidelines to return the building key will be communicated when the key is issued.
6. You may use LED candles only. No open flames are permitted. THIS INCLUDES FIREWORKS OF ANY KIND.
7. Please do not place tape, nails or any other types of fasteners on the walls that could cause
possible damage.
8. All musical and other equipment must be set up on carpet pieces or rugs.
9. Tables and chairs must be placed and managed so the floors are not scuffed, scarred or damaged.
10. It is recommended that the renter secure an Event Policy with their insurance provider.
11. A cancellation notice is to be communicated to the rental coordinator. It must be canceled no later than three (3) weeks before the event. Failure to communicate or coordinate cancellations properly may result in a forfeit of the renter's security deposit.
12. The following are prohibited in the building: Smoking, chewing gum, glitter or confetti.
VIOLATION OF RULES COULD RESULT IN FORFEITURE OF YOUR DEPOSIT.

Deposit is due when the contract is signed. Rental fee is due 3 weeks prior to event date.
CASH, CHECK & CREDIT CARD ACCEPTED. NO PAYMENT APPS ACCEPTED.
(A non-refundable processing fee is charged for debit/credit cards. Make checks out to Bedford County Arts Council.)
By completing, signing and submitting this contract, you are agreeing to adhere to all rules and guidelines. It is understood that The Fly Arts Center/Bedford County Arts Council is not to be held responsible for any harm or damage suffered during the event.
