Marketing Request Form

Please use this form to request marketing communications and graphic design help. Please allow about 2 weeks for your request to be added to the schedule. If you have a public facing event that will need promotion, please consider allowing at least one full month of promotion PLUS the 2 weeks needed to get the needed work scheduled and done by our team.

This form is ONLY for projects initiated by The Fly Arts Center and is not intended for events in which The Fly is only acting as an event or class venue. 

Example Timeline
REQUEST: Art Class Scheduled for November 14th
Work will need to be COMPLETED no later than October 14th to allow one full month of promotion. 
Marketing request will need to be made no later than October 1st. 

THINK: I need to request marketing help at least 45 days before my event occurs.

Make Sure You Have ALL the Info BEFORE You Make Your Request
Requests will not be considered complete until all information and supporting graphics/resources have been provided to the Marketing Coordinator. 

Be Responsive
Should the Marketing Coordinator have questions or needs an update of information regarding your project, please try to respond as promptly as possible. Delays in response will create delays in your project completion and may jeopardize your completion date. 

Canceling Events
Yes, some times things that are out of our control happen and an event must be canceled. Please note that canceling an event is as labor intensive as creating the communications to announce and promote it. Make sure to only request support for events that are not likely to be canceled. 

Trying Something New... It Will Take Time to Build
Please note that if you are starting something brand new, like a new program, class or event, it will very likely take time to build an audience. Just because the first event in your new series didn't do well, doesn't mean that it is a failure. Give your new venture time to develop and let people get used to your new offering. 

Featured Artists and Art Exhibitions
Please have the artist fill out the Artist Directory Form at https://www.flyartscenter.com/artist-directory-submission-form. It is important that each artist do this for themselves, as the information they are providing information about their artist mission and their work. If they need a headshot or help with creating proper promotional photos of their work, please use this form to make that request. Artists also need to be prepared to do a lot of their own self-promotion to help drive traffic to their openings.

PROMOTE!
Once a marketing communications promotional campaign has been developed and distributed through the appropriate marketing channels, be prepared to help spread the word. Sharing our social media posts on your timeline and in community groups, inviting friends using the invite function on Facebook event listings, handing out/hanging marketing support flyers/posters around the community, talking to others, submitting your event to local community calendars and asking your friends and family to help you get the word out will be greatly beneficial. You may also be asked to help create content for social media posts, help hand out flyers or ask local businesses to hang posters in their windows to help promote your event.

Disclaimer 
Not all events need to be promoted equally based on audience and goals. For example, filling 8 spots in a class requires different efforts than selling 660 tickets to six theatre performances. The marketing tactics, strategies, placements and frequency of communications will be determined by your Marketing Coordinator. Not all projects require the same execution of tactics and effort.

Phone: 931-205-9176 - Text first to schedule a call. This number will not ring if you are not saved in Seven's contacts. Also, Seven often has trouble hearing on the phone and needs to be able to take phone calls in her office in order to properly hear.

Marketing Work Days/Hours
Seven is an unpaid volunteer. Her work is her art. As a volunteer, she is not at the disposal of our organization 7 days a week, and each project is like an art project.

To maintain balance with her obligations outside of her volunteer work, Seven has designated Mondays and Thursdays as the two days a week she can devote to doing marketing communications work for The Fly. Seven does not get into her office before 10 am each day and only works in office until around 5pm.

She is available for evening meetings after 5pm on Mondays and Thursdays for The Fly's board meetings and for any special committee meetings. Committee meetings will require some advanced notice.  

All website updates are made on Mondays.
